Position Vacancy - Assistant Buyer, Special Sales

Overview: Reporting to the managers of Special Sales, the Full-Time Assistant Buyer is responsible for assisting with product purchasing and other operational tasks.


  • Highly organized, attentive to details for timely fulfillment of client orders.
  • Tracks orders, inventory and purchase order management, processes invoices and returns, and vendor communication. Responsible for confirmation of orders, and ensuring orders have shipped by need-by date.
  • Retrieves information for reports, and prepares and analyzes spreadsheets of sales and inventory data.
  • Provides operational support: product receiving, accounts payables, data entry, phones, files, tracks project due dates, responds to vendor and customer inquiries.
  • Continuously seeks to expand product knowledge while accurately maintaining product and customer databases.
  • Must be confident trying to resolve issues needing immediate attention before escalation to Managers.
  • Work may require periodic handling, carrying, or lifting of moderately heavy objects. Work may require standing and/or walking for long periods of time.
  • Must work efficiently both in a team environment and independently, while maintaining a professional and adaptable demeanor towards staff, clients and vendors.
  • Works closely with Warehouse and other Managers to fill orders on time.
  • Must be able to prioritize, multi-task and meet deadlines.
  • All other related duties as requested.


  • Minimum of two (2) years retail/wholesale administrative support experience, which includes at least one year of high-volume inventory control and/or one year of experience as a buyer.
  • Prior receiving/accounts payable experience preferred.

Certificates, Licenses, Registrations: Any advanced training a plus.
Computer Skills: Advanced knowledge of Excel, while comfortable learning new software packages. Experience with computerized POS/inventory management system and QuickBooks strongly preferred.
Supervisory Responsibilities: None.
Language Skills: Must possess good oral and written communication skills and be able to work with a variety of College staff and constituents.
