Position Vacancy - Managing Director


Bank Street Education Center (“the Center”) partners with school systems (districts, state education departments) to improve instruction at scale. The Center does this by providing services including strategic planning and professional learning. Beginning in the Spring of 2018 it is expanding its portfolio by supporting CCRE, SFP and new program design for the college. With these changes, the Education Center is creating a Managing Director role to lead strategic budgeting, operations, human resources, and communications for the division. This role will ultimately be accountable for ensuring smooth implementation of business development activities, operations and communications across all projects in this expanded portfolio for the Education Center.

Key relationships:

The Managing Director will report directly to the Deputy Executive Director for Strategy & Systems. The Managing Director will also support the Executive Director as well as other senior members of the team, including Project Directors to whom the Managing Director will support to ensure effective budgeting for all projects. The Managing Director will supervise the work of an Operations Associate. Outside of the Education Center, the Managing Director works with all levels of the office of the Chief Operating Officer to facilitate effective management of our operations (budget, HR, IT) for project work in alignment with college policies and procedures.


In collaboration with the Deputy Executive Director for Strategy & Systems, the Center’s leadership team, and additional support, the Managing Director will be responsible for the following:

Budget Modeling & Planning for Sustainability
● Independently oversee and execute the development of new cost models for external work with partners, often with quick turnaround to support proposal development and refinement
● Design interactive tools for projecting costs for the Program Design team
● Develop systems to train and monitor the quality and submissions of budgets developed by project teams as they create cost estimates matching the scope of ongoing work/renewals in alignment with college and Ed Center policies;
● Serve as a thought leader for the Ed Center on effective approaches and systems to ensure financial sustainability for all projects in the expanded portfolio of the Ed Center
● Make recommendations and facilitate decision making across divisions with leadership connected to strategic budgeting decisions that are often driven by complex funding requirements and constraints
● Inform and participate in cross-divisional operational planning and support or lead connected strategic projects that improve operations across the college including playing a key role in the development of a new budgeting platform for college-wide financial tracking and planning.

Communications, Operations and Strategic Support for Leadership Team
● Through regular check-ins with project staff including analysts and Project Directors collect key project updates and data to inform writing regular reports to the leadership team on key project milestones and outcomes
● Oversee the development of a regular newsletter for Ed Center staff
● Oversee strategic scheduling for Senior Leadership and key meetings including client-facing engagements
● Support the development of reports or updates for a range of constituents in a range of formats including PPT for board members, office of communications, alumnae and other stakeholders
● Create and execute a strategy, annual plan and calendar for supporting Ed Center culture through a variety of Ed Center-wide events including opportunities for professional learning, quarterly retreats, social events and other opportunities to build a robust professional community
● Serve as the Center’s liaison with IT department to purchase technology, track inventory, set up accounts, and proactively manage all related onboarding and offboarding tasks

Budget Management
● Independently design and manage budget trackers for Education Center projects across an expanded portfolio of work, maintaining a detailed projection and account of all annual revenue and expenditures, providing easy-to-review updates for staff at all levels of our organization on a regular basis
● Generate regular reports in excel, powerpoint and word that includes a budgetary analysis of the Center’s specific client projects and the Center overall on a monthly basis that provide easy-to-understand snapshots of budget performance that facilitate decision-making for project or Center and college leadership;
● Proactively design, document and implement effective budgeting policies and procedures across the Education Center
● Liaise with project and college staff to support the day-to-day execution of budget transactions, including allocating, scheduling, and modifying funds and budgets;
● Serve as expert for the Ed Center on the CARS system to support all financial related matters as necessary.
● Utilize knowledge from the management and oversight of all budgets for longer term budget planning for each project and the Ed Center as a whole that considers possible revenue from grants, contracts, endowment and individual donors for the long-term sustainability of all projects within the center

Contract and Grant Management
● Make recommendations and facilitate decision-making across divisions with leadership connected to strategic budgeting decisions that are often driven by complex funding requirements and constraints
● Manage project management, develop budgets and create or gather other key documentation needed to complete submission of proposals for RFPs, MTACs Requests for Bids with the New York City Department of Education, federal or state grants and other funding sources
● Set up systems necessary for managing and complying with the contracting and reporting rules from multiple funders including private foundations, federal and city grants and city/state education departments
● Oversee the development and tracking of all consultant contracts establishing business rules and templates to support that process including the creation and regular updating of easy-to-access trackers to support;
● Design a system for overseeing the client invoicing process including working with project teams, college staff, and clients to create and track invoices and time as necessary;
● In collaboration with Central Budget office staff, oversee and generate financial reporting and management needed for grants, contracts and potentially other funding sources like endowment funds that meet the complex accounting and compliance requirements for all funding streams.
● Manage all tasks associated with following through with budget modifications and journal entries to adhere to funding positions through various sources

Human Resources
● Manage the talent recruitment strategy and execution of it for the Center, including: identifying needs for talent across the organization, recruiting potential candidate pools/candidates, creating and managing job descriptions and hiring tasks, screening candidates for required skills and communicating vision for Ed Center, compiling necessary background information about possible candidates for consideration in easy-to understand snapshots or reports, coordinating meetings with hiring committees, scheduling candidate interviews, issuing robust hiring recommendations aligned to Bank Street goals and in collaboration with hiring managers; and, coordinating with the college’s central HR to support smooth hiring and onboarding;
● Serve as a leader in the design and execution of talent development work for the Ed Center drawing from research and national best practices, including coordinating the personal goal setting and reflection cycle and setting up key resources to support it;
● Serve as the Education Center point of contact with the College on human resources issues working closely with the Director of Human Resources for the College to serve as a liaison for all human resources issues.
● Write, design and maintain a clear, organized handbook with regularly updated information about the Ed Center and college policy, programs and related information and serve as the point of contact across the Ed Center for training and communication the policies included

Training for Ed Center Staff
● Lead professional learning for staff across the Ed Center in key areas of responsibility such for project staff to increase capacity to track and devise budgets, advanced Excel functions, use of reporting functions in time tracking systems, understanding Ed Center policies and procedures;
● Provide guidance, one-on-one support and create resources (such as how-to-guides, fact sheets) in support of professional learning

● Supervise and develop the Operations Associate role, who provides general operational and special projects support to the Education Center

Required Qualifications:

● BA degree required
● Minimum 5 years of work experience;
● Significant operational experience
● Advanced Knowledge of MS Excel (specifically, advanced formulas, pivot tables and charts);
● Proficiency in all Microsoft Office software applications (e.g. Word, PowerPoint)
● Strong analytical and problem solving skills with an ability to develop systems and processes and teach others to use;
● Strong communications, writing and reporting skills
● Advanced project management skills and experience
● Excellent organizational skills including time management, maintaining of records and meetings, tracking and following detailed next steps through to completion without support
● Attention to detail and ability to identify issues;
● Ability to be flexible in an ambiguous, fast-paced environment of quickly changing priorities and tight deadlines;
● Customer service mindset.

Preferred Qualifications:

● Managerial or supervisory experience of professional staff
● Proven work experience as a Budget Manager preferred
● Graduate degree in business, education, non-profit management or public administration;
● Familiarity with Google suite

● This is a grant funded position. The position is contingent upon the availability of future private funds.
